How to keep notes that hold up
Write notes as soon as you can. Keep the original account rather than replacing it later; the venue decides what weight it gets.
- Write it down straight away, on paper or in the box on a step.
- Put the date, time and place at the top, and who you spoke to.
- Use their words where you can; separate what you saw from what you were told.
- Sign or initial a paper note, photograph it and add the photo.
- Never edit an old note. Add a new dated entry when something changes. A device save time is not independent time evidence or proof of event order.

Records are not strictly required, but the guide advises keeping order date, delay notice date and contents, cancellation date, ship date and contents, and refund date and item per order. Without documentation of its compliance systems the seller bears the burden of proving compliance, and the rule creates a rebuttable presumption against it. The guide sets no retention period. It notes the federal statutes of limitations are three years for consumer redress and five years for civil penalties, and that state limits can be longer. It does not mention photos or timestamps.

For orders sold to US consumers, the FTC Mail Order Rule treats missing records as a presumption against you when shipment timing is disputed. The FTC's guide advises keeping per-order records for years.

Can the photo date be faked?
Camera metadata can be edited, which is why an independent timestamp authority dates the file fingerprint. If the file is edited afterwards, the receipt no longer matches it.
