Then date your filled-in copy.

Keep the completed copy and its source records. A time receipt dates those exact bytes; it does not establish that an entry is true or accepted. Save a new copy weekly.

How to keep notes that hold up

Write notes as soon as you can. Keep the original account rather than replacing it later; the venue decides what weight it gets.

          1. Write it down straight away, on paper or in the box on a step.
          2. Put the date, time and place at the top, and who you spoke to.
          3. Use their words where you can; separate what you saw from what you were told.
          4. Sign or initial a paper note, photograph it and add the photo.
          5. Never edit an old note. Add a new dated entry when something changes. A device save time is not independent time evidence or proof of event order.

Log work trips while they are fresh

An accountant used a calendar and map printouts made about two years after work trips. They lacked places and work purposes. The court allowed no more car-cost relief than the tax office had already allowed.

Based on a trade publication’s summary of the tax decision.

Rebuilt mileage logs still need their source records

A taxpayer rebuilt trip logs years later, just before trial. The source records were not shown in court, so the tax court rejected the logs as proof of car costs.

The original source was inaccessible; the supplied verification relied on search results for the core holding.

Record business trips while details are fresh

A business owner sought tax breaks for car use and travel but had no trip log or linked receipts. The tax court rejected the rebuilt records and would not guess the costs.

This is a secondary account of a small tax case whose decision cannot serve as precedent.

IRS Publication 463 (Travel, Gift, and Car Expenses), Chapter 5 Recordkeeping

Records should be made 'at or near the time' of the use; a weekly log counts as timely; written records, including those kept on a computer, are adequate. Section 274(d) requires amount, time, place and business purpose.

Pub 463 sets a timing rule, so proof of when a log existed is relevant. It does not mention hash or blockchain timestamps. Pub 463 text was read through a summary tool, not verbatim.

          US Tax Court

Courts apply IRC 274(d) strictly. Logs reconstructed years later and not corroborated by source records have repeatedly been rejected, and the Cohan estimation rule does not apply to vehicle expenses.

The cases turn on when the log was made. None found addresses cryptographic timestamps. A time receipt would support timing but not accuracy.

          Proves / Doesn’t prove

          Proves

A completed time receipt shows that the exact selected file existed by the independently witnessed time. You can check whether a later copy has the same bytes. It does not establish creation time, authorship, identity, event order, location or the truth of the contents.

          Doesn’t prove

It does not prove the trips happened, that the miles or business purpose are accurate, who wrote the log, or that the IRS, HMRC or a court will accept it.

The receipt does not verify mileage, business purpose or eligibility for a deduction. Follow the relevant tax authority’s record rules.

These are the bounds of a completed proof. The local tester does not establish any time. The chosen court, scheme or regulator decides what to accept.

          Questions, answered plainly.

Your file stays on your device. During normal receipt creation, your device sends a randomized code made from its fingerprint, plus encrypted recovery data. It doesn't send the plain fingerprint or the random value that opens the code. Keep the original file and the complete receipt for checking. Privacy Policy.

Does the IRS require a mileage log?

If you deduct vehicle costs, you must be able to show the date, miles, place and business purpose of each trip. A log kept at or near the time is the usual way to do that. The IRS does not require a specific format.

Will a time receipt make my mileage log IRS-proof?

No. It shows these exact files existed by the receipt date, which shows that this exported log existed by the receipt date; it does not verify when each entry was written. It cannot show the trips were real or the entries correct, and the IRS decides what it accepts.

Can I rebuild a log from my calendar if I lost it?

You can try, but Tax Court has rejected logs rebuilt years later, even when detailed. A time receipt cannot make an old rebuild count as current. It only helps from the day you use it.

Do you see my mileage log?

How often should I get a receipt?

The IRS says a weekly log counts as timely. A receipt each week or month after you update the log gives a clear dated trail. Free receipts cover one-offs, and the Pass is $4.99/mo for regular use.

I use a mileage app. Do I still need this?

Apps record trips, and you can export the report and get a time receipt for the export. That gives you a dated copy that is independent of the app company.

What do 'Dated' and 'Permanent' mean?

Dated requires independently validated timestamp evidence. Permanent requires verified Bitcoin anchoring evidence with the required confirmations. The local tester issues neither status.

Does this work for UK or other countries' mileage claims?

The receipt works anywhere, since it only proves when a file existed. HMRC tells self-employed people to keep mileage records, but we found nothing on whether it accepts timestamps.
