Home inventory template for insurance — Keep a dated view of the home before damage. Keep the original condition photos and notes alongside your insurance records.

Your photos and files stay on your device, so keep them.

Your free home condition worksheet.

A worksheet, not an official form; use your regulator's / carrier's / insurer's own form where one is required.

  • Photo references
  • Condition notes

Check your regulator's own form. The printable version lists the source behind every field. CSV versions have an instruction row above the headings.

Then date your filled-in copy.

Keep the completed copy and its source records. A time receipt dates those exact bytes; it does not establish that an entry is true or accepted. Save a new copy after each condition set.

How to keep notes that hold up

Write notes as soon as you can. Keep the original account rather than replacing it later; the venue decides what weight it gets.

        1. Write it down straight away, on paper or in the box on a step.
        2. Put the date, time and place at the top, and who you spoke to.
        3. Use their words where you can; separate what you saw from what you were told.
        4. Sign or initial a paper note, photograph it and add the photo.
        5. Never edit an old note. Add a new dated entry when something changes. A device save time is not independent time evidence or proof of event order.

Old street photos can defeat new damage claims

An owner blamed a lorry for a cracked wall. Older street photos showed the same crack before cover began. The reviewer rejected both claims and agreed the cover could be treated as never having started.

Show that old roof damage was repaired

An owner blamed a storm for roof damage. Earlier online images showed a tarp, and there were no bills proving repairs. The reviewer found it fair for the insurer to refuse the claim as wear and tear.

Earlier sale photos can show older cracks

An owner disputed when wall cracks began. Old sale photos showed plants in the cracks, and no report of equal weight challenged the insurer's expert. The reviewer found the refusal fair.

Ombudsman decision; it upheld the reasonableness of the insurer's decision on the available evidence.

Old floor photos can challenge sudden leak claims

Owners blamed a sudden leak for floor stains and warping. Photos showed damage years earlier, and they gave no expert proof against that account. The reviewer found it fair to refuse cover for old, gradual damage.

Conflicting roof images may need closer review

An insurer said old sky photos showed roof damage before a storm. The owner offered a newer photo said to show no missing shingles and called the old image unclear. A news report said the complaint was still pending.

A secondary press report describes a pending regulator complaint, with no final decision reported.

Decisions weigh photos, surveyor reports and online images; the policyholder must show the loss falls under an insured peril, and professional opinion outweighs lay opinion.

Dated photos and images were considered as evidence in all four decisions; none addressed cryptographic time receipts, so acceptance of one is unknown.

        Proves / Doesn’t prove

        Proves

A completed time receipt shows that the exact selected file existed by the independently witnessed time. You can check whether a later copy has the same bytes. It does not establish creation time, authorship, identity, event order, location or the truth of the contents.

        Doesn’t prove

It does not prove who took the photos, where or when the scene was actually photographed, that the photos show the true condition, or that damage came from a particular storm or leak; the insurer or ombudsman still weighs the evidence.

This cannot establish the scene’s date, a cause of damage, ownership or insurance coverage.

These are the bounds of a completed proof. The local tester does not establish any time. The chosen court, scheme or regulator decides what to accept.

        Questions, answered plainly.

Your file stays on your device. During normal receipt creation, your device sends a randomized code made from its fingerprint, plus encrypted recovery data. Who has to prove damage was not there before the policy?

In the UK ombudsman decisions reviewed, the policyholder has to show the loss falls under an insured peril, and insurers can use older images to argue wear or earlier damage. Dated photos from policy start give you something to point to.

Can an insurer use street view or satellite images against me?

Yes. Street-view, aerial and property-sale photos were used by insurers in the decisions and a Connecticut case. Your own dated photos are how you answer them.

What should I photograph when a policy starts?

Each room, ceilings, walls, floors, under sinks, the roof from the ground, gutters, outbuildings and boundary walls, plus close-ups of any existing cracks, stains or repairs. Insurer checklists also suggest date-stamping and keeping copies off site.

What if there is already damage when I start?

Photograph it clearly and tell the insurer. A dated record of existing damage helps separate it from new damage later, and a Connecticut regulator's guidance asks insurers to flag known damage to the owner.

Will an insurer or court accept a time receipt?
