proof of mailing

Keep the letter and the mailing evidence together.

Proof of mailing — Keep a dated copy of your letter alongside separate postal evidence. A file timestamp cannot establish the physical contents of the envelope.

Your photos and files stay on your device, so keep them.

Now keep it safe: three things
  1. Keep your photos and files unedited. The receipt only matches the originals. Put them in an album such as “My records”.
  2. Save this receipt to your camera roll.

Keep the receipt file too. The image is a handy copy; checking needs the file.

  3. Email it to yourself.Email it to myself

Your mail app opens a draft. Attach your receipt image and receipt file. Don’t attach your photos or documents. Timevolt does not send it or know whether it was sent.

How to keep notes that hold up

Write notes as soon as you can. Keep the original account rather than replacing it later; the venue decides what weight it gets.

          1. Write it down straight away, on paper or in the box on a step.
          2. Put the date, time and place at the top, and who you spoke to.
          3. Use their words where you can; separate what you saw from what you were told.
          4. Sign or initial a paper note, photograph it and add the photo.
          5. Never edit an old note. Add a new dated entry when something changes. A device save time is not independent time evidence or proof of event order.

Match each envelope to its contents

A tenant and landlord disagreed about which court papers came in an envelope. Its return address mattered, but the court could not tell which mailing it was. It ordered a hearing on the envelope contents and address.

Ruling on service of court papers, not a final finding about the contents. Other defenses were rejected.

Tie the signed receipt to the letter

A doctor said a signed-for envelope might not have held the required notice. The sender linked the letter to the postal receipts in a sworn account. The court found no proof of different contents and kept the hospital’s win.

Applied hospital staff bylaws; a signed receipt alone was not the whole proof.

          Proves / Doesn’t prove

          Proves

A completed time receipt shows that the exact selected file existed by the independently witnessed time. You can check whether a later copy has the same bytes. It does not establish creation time, authorship, identity, event order, location or the truth of the contents.

          Doesn’t prove

It does not prove the envelope was mailed, delivered, or that these files are what went into it, who wrote the letter, or that it is true; the post office record and the court or agency decide weight.

The timestamp dates the files, not the act of mailing or the physical contents of the envelope. Postal evidence and linkage of contents remain separate.

These are the bounds of a completed proof. The local tester does not establish any time. The chosen court, scheme or regulator decides what to accept.

          Questions, answered plainly.

What does a certificate of mailing prove?

It is a postmarked receipt that the item was presented to the Post Office for mailing on that date. It does not show delivery, and USPS does not keep a copy.

Does certified mail prove what was inside the envelope?

No. Certified mail records mailing and delivery or attempt, not the contents. That is the gap a time receipt on the exact letter helps fill.

          Context for this answer
Is a certificate of mailing the same as certified mail?

No. A certificate of mailing proves only that the item was handed in. Certified mail adds tracking and a delivery or attempt record, at a higher fee.

If I mail something, is it presumed the other side received it?

Many courts presume a properly addressed, stamped letter was received, but it can be rebutted. In tax filings sent to the IRS some circuits do not apply it to regular mail.
