Keep the completed copy and its source records. A time receipt dates those exact bytes; it does not establish that an entry is true or accepted. Save a new copy after each monthly check.

How to keep notes that hold up

Write notes as soon as you can. Keep the original account rather than replacing it later; the venue decides what weight it gets.

        1. Write it down straight away, on paper or in the box on a step.
        2. Put the date, time and place at the top, and who you spoke to.
        3. Use their words where you can; separate what you saw from what you were told.
        4. Sign or initial a paper note, photograph it and add the photo.
        5. Never edit an old note. Add a new dated entry when something changes. A device save time is not independent time evidence or proof of event order.

Old tag dates do not prove missed checks

An employer said staff checked fire extinguishers monthly despite old dates on the tags. The panel dropped that charge: the rule then did not require monthly tag records.

Missing tag entries do not settle the facts

An inspector saw no monthly tag entries and could not find two fire extinguishers. The employer described regular checks, and the agency dropped its claim at trial. The judge cleared that charge.

        Proves / Doesn’t prove

        Proves

A completed time receipt shows that the exact selected file existed by the independently witnessed time. You can check whether a later copy has the same bytes. It does not establish creation time, authorship, identity, event order, location or the truth of the contents.

        Doesn’t prove

It does not prove who did the walkthrough, that the extinguisher was actually charged and in working order, that the photo shows that unit, or that an inspector, insurer or court will accept it.

This cannot establish a charged or working unit, a genuine device check, physical presence or required maintenance.

These are the bounds of a completed proof. The local tester does not establish any time. The chosen court, scheme or regulator decides what to accept.

        Questions, answered plainly.

Your file stays on your device. During normal receipt creation, your device sends a randomized code made from its fingerprint, plus encrypted recovery data. It doesn't send the plain fingerprint or the random value that opens the code. Keep the original file and the complete receipt for checking. Privacy Policy.

How often must fire extinguishers be inspected?

Follow the inspection and maintenance requirements for your jurisdiction and equipment, using a qualified person and any locally required license.

What should the monthly record show?

Under NFPA 10 as quoted by a municipal form: the date and the inspector's initials, with enough history to show the last 12 monthly checks.

        Context for this answer
Can I keep the log electronically instead of on the tag?

NFPA 10 allows a tag, a checklist kept on file, or an electronic method, per the quoted text. Check which edition your fire office has adopted and whether it wants its own form.

How often do exit signs and emergency lights need testing?

A functional test of at least 30 seconds every month (3 to 5 weeks apart under NFPA 101), plus a longer annual battery test, usually 90 minutes.

Source summary as of October 30, 2026. Check the current source and its scope.

        Context for this answer
Does a time receipt replace the inspection tag or annual service?

No. The tag, the log and the licensed annual service stay as they are. The time receipt only shows the files you saved for a month existed, unchanged, by a date.

Does it prove the extinguisher actually worked?

No. It proves your photos and records existed by that date. Whether the unit was charged and the check was honest depends on the people and the unit.

What if an inspector or insurer asks for proof after a fire?

Show the monthly log and receipts together. Early OSHA review cases turned on whether monthly checks could be shown at all; dated records answer the when question, though the decision-maker decides what to accept.
